Job Description

 

Purpose of role:

You will provide administrative support to a large VAT team, who are responsible for the consistent delivery of the highest levels of professional VAT Services to a large base of international blue chip companies.  The MIVC Administration team are important for ensuring the proper management of documents required to support the business deliver the professional service expected by clients.  This administrative support includes the scanning, logging, filing, tracking, archiving, retrieval and dispatch of VAT Authority notifications, original documents and any other team post.  You will also be responsible for the generation and distribution of reports to the team, as well as, the provision of other administrative support required by the team.

 

Main duties and responsibilities:

VAT Authority Notifications

  • Logging and scanning of post and notifications onto database within departmental service level
  • Reviewing ‘centralised’ mailboxes for VAT Authority emails
  • Assessing and categorising notifications in the database
  • Coordinating with external and internal translators to obtain translations in a timely manner

 

Outbound post and couriers

  • Collecting, logging and dispatching all outbound post / couriers including VAT returns
  • Ensuring all deliveries are made on time (e.g. sending by appropriate method and obtaining proof of delivery)
  • Ensuring any courier issues / delays are resolved and communicated with manager in a timely manner

 

Original Document Storage

  • Ensuring that original legal documents (e.g. client invoices, C79s etc) are properly filed and are fully traceable
  • Maintaining document archives and ensuring that all files are readily retrievable
  • Retrieval and copying of files required by the team

 

Report Generation and Distribution

  • Generating reports and distributing to the team in a timely manner

 

General Administration

  • Ordering (internally) and distributing team stationery supplies
  • Making desks ready for new starters
  • Supporting team with any other administrative duties as are required which may include (but not limited to) photocopying, scanning, completing forms and data capture
  • Coordinating with team to ensure administrative requirements are catered for
  • Any other activities that may be required by the manager

 

Qualifications

  • Previous office experience an advantage
  • 3rd level qualification an advantage
  • Ability to work well to under pressure and to tight deadlines
  • Excellent organisational skills
  • Self-starter, adaptable, energetic
  • Excellent communication and interpersonal skills
  • Excellent attention to detail with an emphasis on quality output
  • Fluent English essential – both written and verbal
  • The ability to work well on own and in a team.
  • Highly motivated
  • An excellent working knowledge of Lotus notes, Excel and Word
  • The ability to work on own initiative with a friendly, flexible and adaptable approach.
